From paper logbooks to predictive systems

Sign In Solutions began by replacing traditional paper logbooks with a digital sign-in system. But as Jolie explains, the vision quickly expanded:

“What we’re finding is that visitor management is far broader. It’s not just about check-in and check-out — it’s about managing compliance, risk, and enhancing the overall workplace experience.”

Through strategic acquisitions and platform development, Sign In Solutions has evolved into a dynamic visitor management ecosystem that balances risk mitigation with a seamless, intuitive experience for every guest, contractor, or employee who walks through the door.

AI in action: extending the lines of defense

One of the most powerful themes discussed was how AI enables organizations to extend the perimeter, both physically and digitally.

Using AI-powered data insights, teams can receive proactive alerts based on background checks, behavior patterns, or even license plate recognition.

“Maybe Lee’s a VIP and we can have his favorite coffee ready,” Jolie joked. “Or maybe he’s on a watchlist — and we need to notify security.”

These AI-driven alerts allow organizations to be proactive - not reactive - by identifying potential risks and opportunities before they impact operations.

Conversational configuration: the future of setup

Enterprise-grade configuration has traditionally been a barrier to implementation. Jolie introduced the idea of conversational configuration, where a user can set up workflows or access policies simply by typing a sentence.

“What used to take a hundred clicks can now be done in two or three sentences,” she said.

This approach not only simplifies administration but also helps organizations quickly adapt to regulatory changes — which, in compliance-heavy industries, is increasingly vital.

Agile AI: Adapting to a Changing Landscape

With a background as an agile coach, Jolie brings a unique perspective to AI implementation. Her experience in helping teams adopt flexible, iterative approaches has carried over into how Sign In Solutions builds and integrates AI into its platform.

“AI is accelerating those experimental cycles,” she said. “It allows us to test, learn, and implement faster while still maintaining security and trust.”

The result? A more resilient, responsive system that evolves in sync with customer needs and global shifts in workplace regulations.

One of those companies is Sign In Solutions, and I’m joined by Jolie Summers. Jolie, thank you so much for being here and participating in the AI Discovery Zone. It’s your first time taking part, right?

Absolutely! Thank you so much for having us. We're tremendously excited to be here. My name is Jolie Summers, and I’m the Senior Director of AI Implementation at Sign In Solutions.

At Sign In, we focus on visitor management software that helps organizations uphold high standards of compliance and risk management—while still delivering a seamless and welcoming visitor experience.

Lee Odess:
Very nice—well said. So tell us about Sign In Solutions. What’s the story behind the company?

Jolie Summers:
Sure! Sign In Solutions is the result of several strategic acquisitions over the past few years. Initially, our goal was to replace the paper logbook, that classic sign-in/sign-out method. But what we discovered is that visitor management is so much broader—and far more complex—than that.

Our platform now supports a wide range of compliance and risk management needs, while also creating positive, intuitive visitor experiences. It’s about uniting those two priorities, not choosing one over the other.

Lee Odess:
That makes a lot of sense. And how is AI impacting your products—and maybe even the broader market?

Jolie Summers:
AI is foundational. I’m sure many of your other guests have said the same. For us, it’s about enhancing compliance and situational awareness through proactive capabilities.

Whether it’s conducting background checks, surfacing insights from multiple data points, or recognizing patterns that allow us to alert customers in advance—AI gives them more time to respond. Think of it like this: if Lee’s license plate is recognized at the perimeter, and he’s a VIP, we can make sure his favorite coffee is ready. If he’s on a watchlist, we alert security immediately. That’s the proactive value AI enables.

Lee Odess:
That’s powerful. From your role in AI implementation, are you more focused internally on the product, or externally on customer use?

Jolie Summers:
Both. I’m responsible for integrating AI across the entire customer lifecycle, and product is a critical part of that. We're experimenting with ways to streamline workflows and help our customers work faster and smarter, without adding complexity.

Lee Odess:
What’s your background—how did you end up leading AI implementation?

Jolie Summers:
Great question. My background is as an agile coach, working with development teams for over a decade. I focused on helping teams improve transparency, inspection, and accountability in their processes.

AI is now accelerating that same experimental approach—enabling us to rapidly test, learn, and evolve our products while keeping them safe and secure.

Lee Odess:
Interesting. So how do you define AI within your organization? Is it a tool, an application, a framework?

Jolie Summers:
To us, AI is a “how”—just like a programming language or a software development kit. It’s a new method for solving problems and achieving outcomes.

When we think from a product perspective, it’s about starting with the customer’s challenge and using AI as a tool to express the solution more effectively and efficiently.

Lee Odess:
Makes sense.

Jolie Summers:
For example, we’re exploring conversational configuration—where instead of clicking through dozens of menus, users can configure features using a simple sentence or two. That kind of capability dramatically reduces friction.

Lee Odess:
And with all the data from cloud-based systems, it’s easy to imagine that 80% of configurations could be predefined for a particular type of customer.

Jolie Summers:
Exactly! And regulations are constantly shifting. Our systems can recognize your industry, assess your compliance posture, and proactively recommend changes—so you’re never caught off guard. Accepting or declining a recommendation could be as easy as a click.

Lee Odess:
It all makes a lot of sense. I feel like we could talk for hours.

Jolie Summers:
I think so too!
